Pilates Studio Scheduling and Business Management Software.

A small Pilates studio with small classes, a tight team of trainers, and an owner who is there every day. They needed booking software that works the way they do, at a price a small studio can afford.

Off-the-shelf platforms

Problem.

  • × Monthly fees for features they would never use, and workarounds for the ones they actually needed.
  • × Memberships that don't fit a template: an unlimited plan for founding members, 5-class and 10-class packs, single drop-in classes, and intro deals only for true first-timers.
  • × Signed waivers sat in a folder. Nothing stopped someone from booking without one.
  • × Trainer pay had its own formula: a rate per class plus a bonus for how many beds were filled, with substitute trainers who had to be paid correctly too.
What we built

Solution.

  • Customers book from a list or a calendar, pay and book in one checkout, and manage their own membership online.
  • When a seat opens up, the waitlist gets a message automatically.
  • Trainers see the day's class list, take attendance with one tap, and see each client's self-reported fitness level at check-in.
  • Payroll adds itself up from attendance. Cancel early and your class credit comes back on its own. No-shows get flagged so the owner can decide about a fee.
  • The system checks intro-offer eligibility and signed waivers before a card is ever charged.
  • Every morning, the owner gets a short email with the day's classes.
Why custom wins

With a template, the studio has to bend to fit the software. This works the other way around. The owner's membership rules, waiver rule, and pay formula are the system's rules, so nobody has to work around them at the front desk. And when the studio wants a change, they ask the people who built it, instead of waiting in a vendor's request line.

05 / App case study

Restaurant Automation Software.

A restaurant in Colorado with one location and about thirty staff, split between the dining room and the kitchen. It serves lunch and dinner, and tips are pooled and split by job. The owner is in the building every day. Their tools didn't talk to each other, so the owner and one manager carried numbers between them by hand.

Off-the-shelf platforms

Problem.

  • × The schedule ran on a per-user app that didn't know the restaurant's rules. Who closes, who leads on weekends, and who opens the kitchen were typed in by employee name, one person at a time.
  • × Card sales lived in three places: the register system and two card processors. Someone retyped the totals after every shift.
  • × Tips were split in a spreadsheet. In the last pay period before the rebuild, every one of its 239 payout rows had been edited by hand. One setting was too high, so the restaurant's own share dropped to $0 on ten shifts, and nobody could see it.
  • × When the register and the counted cash drawer didn't match ($512 apart over four shifts in one pay period), the difference went straight into the tip pool. Nobody decided which number was right.
  • × Staff clocked in from their own phones. Hours got argued over, and if someone forgot to clock out, the clock kept running into the next day's pay.
What we built

Solution.

  • One system that holds everything: the schedule, the time clock, the cash count, sales, tips, and pay periods. One staff list. One set of rules.
  • A cash count after every shift that builds the shift's sales report when it's saved. Card sales come in from the processor on their own. The counted drawer is the cash number, and if it doesn't match the register, the gap is flagged where everyone can see it.
  • A complex tip calculator that takes into account time worked, tenure, position, and several other factors, turning an hours-long process of calculating tips into one completed in minutes.
  • Safety checks wherever money moves to ensure accurate numbers.
  • A PIN pad on the shared iPad for clocking in. Each punch links to the scheduled shift, and if someone switches jobs mid-shift, the hours split between the two.
  • Automated scheduling built from a weekly template. It suggests a draft based on who is available, taking into account the days and hours staff work, PTO, role, and roles needed. Additionally, it creates a printable PDF for the kitchen wall.
  • Roles that match the floor: Employee, Cashier, Shift Lead, Scheduler, Manager. Staff only see their own records. Adding new team members is done in one form.

Landscape Design Project Management Software.

A landscape design studio takes a contractor's request, turns it into a 2D drawing, gets it approved, then delivers a 3D picture of the finished yard. Requests, approvals, and job tracking all lived in email and shared folders. We replaced that with one system built for the studio: a step-by-step form for contractors, a real approval step, and a staff screen that shows who is overloaded.

Every project starts with a description of the yard. None of them showed up complete.

A landscape brief has a lot of parts: which areas of the yard are in the project, what features the client wants, the style they like, a map of the lot, any HOA rules or easements, a budget, and a folder of photos. Sent by email, briefs arrived in pieces and staff had to chase down the rest.

Later, approvals lived in email threads with no record of who said yes to which version. Links to the project's shared folder were pasted into every task by hand. The owner couldn't tell how busy each designer was without asking around.

The studio needed one place where contractors send briefs, look at designs, and approve them, and where staff track every job behind the scenes. It had to work for a small team and stay affordable as more contractors joined.

A guided request form.

Contractors log in and fill out a step-by-step form: the site, what's in the project, inspiration and style, budget, and notes for the build crew. Photos, lot maps, and videos upload straight to secure storage. Staff get an email the moment a request comes in.

Questions go both ways.

If something is missing, staff click Request More Info. The contractor gets the question by email, answers in the portal, and can attach more files. Approvals and rejections each send their own email.

One-click project setup.

An approved request becomes a project in one click. A project template then creates the whole task list: who does what, what has to happen first, required checklists, and approval rules. Setup drops from an hour of copy and paste to a few seconds.

A real approval step.

Designs show up in the contractor's portal as items to approve. They approve or ask for changes and write feedback. Every decision is saved to a history that can't be edited. Staff can't approve their own work.

Tasks that know their order.

Each task knows what has to finish before it can start. When that happens, the next person gets a message that they can begin. Required checklist items must be checked off before handing off. Project progress and start dates update on their own.

Everyone sees only what they should.

Four roles: Admin, Staff, Production, and Client. Staff see only the records assigned to them. Contractors see only their own company's requests, projects, and approvals, and only the fields the studio chooses to show.

Workload at a glance.

Open leads, deals, projects, and tasks on one screen, plus charts of open tasks per designer and active projects per lead. The owner can see who is overloaded without asking.

Small fixes, daily payoff.

The shared folder link is set once on the project and shows up on every task. Expected 2D and 3D dates show on the contractor's project card. A "payment confirmed" step sits in front of production until billing is automated.
